
Product authenticity asks whether goods are what they are represented to be. Chain of custody records who possessed or controlled them through relevant events. Neither is established by a logo, supplier reputation, identifier lookup, or one invoice screenshot. A defensible record links business identity, transaction documents, item identifiers, shipment events, quantities, condition, and exceptions so another reviewer can reconcile the story.
The GS1 Global Traceability Standard describes critical tracking events and key data elements used to answer what, when, where, why, and who. A buyer can use that model without implementing every standard component: record the object, event, time, location, parties, purpose, and evidence consistently.
Define the authenticity claim
“Authentic” can hide several questions. Is the manufacturer genuine? Is the item the stated model, region, and condition? Was the supplier authorized when it claims authorization? Did the units remain within a controlled custody path? Are serials intact? Was packaging altered? Write the claim before collecting evidence so the file answers a real downstream question.
- Identity: legal entities and facilities are verified.
- Product: identifier, variant, configuration, region, condition, and packaging match.
- Source: supplier explains how it obtained the goods with relevant commercial evidence.
- Custody: each material handoff has quantity, time, location, and handler.
- Integrity: seals, serials, labels, cases, and exceptions show material changes.
Build a linked evidence set
Assign stable purchase-order and lot IDs. Link supplier approval, quote, order, invoice, payment, packing list, carrier record, import records where applicable, warehouse receipt, photos, inspection, serial or lot capture, and disposition. A reviewer should move backward from a received unit to its source lot and forward from a source lot to every destination.

Use source risk to set evidence depth
A new supplier offering constrained branded goods far below market needs a different review from an established replenishment source. Warning signals can include mismatched names, unverifiable locations, removed identifiers, inconsistent packaging, payment pressure, unexplained custody gaps, or refusal to provide ordinary records. A signal is a reason to investigate, not proof of wrongdoing.

Make receiving the physical proof point
Compare model, GTIN, packaging, quantity, serial or lot ranges, seals, condition, accessories, and date codes where relevant. Capture photos before repacking or commingling. Preserve transformations and exceptions
Record case splits, relabeling, kitting, refurbishment, returns, commingling, pallet changes, and moves between facilities. Maintain parent-child links when one inbound lot becomes several outbound lots. For rejected units, record who decided, why, where they went, and whether credit, return, or destruction closed the exception.
Package evidence for the actual audience
A marketplace, brand, insurer, auditor, customs professional, or buyer may ask different questions. Produce the minimum relevant packet with accepted redactions and an index. Never alter originals to make the chain look cleaner. Include a reconciliation note identifying gaps, conflicts, limitations, and resolution.
- State the claim, product, lot, quantity, parties, and date range.
- Place commercial records in transaction order and reconcile names and amounts.
- Add custody events, shipment evidence, and receiving results.
- Add identifier or serial schedules only where necessary and permitted.
- Separate accepted goods from exceptions and final disposition.
- Record reviewer, decision, limitations, and next review trigger.
Protect the evidence
Authenticity files can include bank data, pricing, tax identifiers, signatures, addresses, serials, and security-sensitive shipping details. Apply role-based access, encryption, retention, backups, and an audit trail. Store immutable originals and create review copies rather than editing evidence.
Start upstream with the supplier evaluation and use extra controls for bulk consumer electronics, where serials, regional variants, warranties, recalls, and lithium batteries can add risk.
